For the companies that do the work, not just hold the keys
Switch Aqari into Contracting mode and the rental side steps aside: your clients and their sites replace landlords and leases, and the system follows the money the way a contractor actually earns it — quote, client order, measured progress, certificate, invoice, retention release.
Quote, order, certify, invoice — one unbroken chain
The gap that costs contractors money is between what was approved, what was done, and what was invoiced. Aqari keeps those three the same number.
Clients and sites
Client accounts with their own sites, contacts and agreed rates take the place of the tenant model. Every request, quote, job and invoice hangs off the client.
Quotes and client purchase orders
Raise a quote for a client or against a request, turn it into a project with its commercial terms already filled in, and hold it under the client's LPO — with a ceiling that refuses to over-invoice the order.
Interim payment certificates
Measured progress, retention, advance recovery and guarantees on a printable certificate — then raise the invoice from the certified figure in one click, not by re-typing it.
Variation orders
Variations priced and approved against the original contract value, so the final account reconciles instead of being argued about.
Bills of quantities
Import the client's BOQ spreadsheet, keep a rate library behind it, and measure progress against the bill.
Subcontracts and supplier orders
Subcontract packages, supplier purchase orders and vendor profiles — including framework orders that cover a client across projects rather than one job at a time.
Site records
Daily labour returns from site, snag lists, and a defects liability period that closes the job properly instead of leaving it open forever.
Procurement and stores
Requisitions, stores and a weighted-average stock ledger, so material cost lands on the job it was drawn for.
AMC and reactive work, in the same system
Contracting mode includes everything a maintenance provider gets, so planned and reactive work sit in one place.
Annual maintenance contracts
AMCs per client and site, with the visits they entitle and the billing they generate.
Work orders and dispatch
A dispatch board for assigning work, with business-hours SLA clocks that stop at the weekend instead of quietly breaching overnight.
Client portal
Clients raise requests, follow progress, and submit their own purchase orders without phoning your coordinator.
Client billing and payments
Invoice per client, and settle one incoming transfer against several invoices at once — the way clients actually pay.
Frequently asked questions
Do I have to use the property management side?
No. In Contracting mode the rental features — leases, tenants, rent schedules — are switched off, the navigation loses them, and the home page becomes a contracting dashboard.
We manage buildings and also take outside contracts. Can we do both?
Yes. Hybrid mode runs the property management side and the client/contracting side together, with a single set of books underneath.
Does it handle retention and advance recovery?
Both are handled on the payment certificate, and the retention release can be invoiced in one click when the defects period ends.
Can clients send us their LPO through the system?
Yes — clients can submit a purchase order from the client portal, and the order then caps what can be invoiced against it.
Is contracting mode part of the standard subscription?
No — the provider and contracting capabilities are a paid add-on switched on per company, so property managers are not carrying features they never use. Talk to us and we will price it against the way you actually work.
